ROI FACTORS IN SHAREPOINT 2010 # 1: CORPORATE DESKTOP

SharePoint 2010 has a viewing angle so comprehensive that every implementation or survey may see an entirely different tool.

The same goes for their motivations for use.

There is no chaos but a common core: an ecosystem, a platform, a meccano, a Swiss knife or any way to conceptualize a vast mechanism adjustable to diverse purposes.

I remembered today when my mother once sent me to the store to buy sugar and ham.

Professionally I need to explain the benefit of implementing Sharepoint Server 2010, with the same simplicity with which I understood why my mother needed sugar and jam.

I will try to make explicit its benefits without the use of adjectives, trying to simplify complexity and using the technical information to solidify how you can reach these benefits.

It’s a challenge.

We must talk about Return on Investment – OK – but a real ROI calculation is a matter for the day after, when you have the possibility to compare the incidence of Sharepoint 2010 in the life of the people and processes.

So I prefer to talk about ROI factors, solutions to problems or opportunities for new benefits that result from proper implementation.

SharePoint 2010 is a solutions-producing tool and not a solution in itself.

Zero Magic: “THINK Sharepoint” and “Sharepoint is a tool to think before” are 2 phrases I tend to repeat.

In an effort to simplify, I’ve isolated usage patterns which I called Panoramas.

They are, like all patterns, logic models that usually operate combined.

The nice thing is that they contain an intelligible way of presenting ROI factors.

The first one – source of this note – is what I call CORPORATE DESKTOP, the central area in the company Intranet, web formatted, centralized organizer.

GENERAL ISSUES (ENVIRONMENT RELATED)

IT IS BASED ON A STRUCTURE OF SITES AND PAGES HIGHLY SECURE AND FLEXIBLY MANAGEABLE.

Provides:

  • Unique User Interface
  • Storage Scope
  • Governance Infrastructure

The fact of an Intranet consistent in its operation enables the ability to manage policies in a centralized way at the total level of the enterprise, to have information boards as consolidated channels of unified business vision and facilitates learning at all levels.

  1. Unification
  2. Integration
  3. Centralization
  4. Zero waste of effort
  5. Everything in sight (except that perhaps you may not see)
  6. Ease of use

HOW DOES SHAREPOINT 2010 DO IT?

  • All happens within Sharepoint 2010 sites and pages
  • Aesthetics and operation are unified by default
  • The Corporate desktop is the gateway to the enterprise information
  • Governance tools control and provide the backbone of the whole

THE SECURITY MODEL IS HIGHLY GOVERNABLE AND IT EXTENDS TO EACH PLATFORM ATOM

  • The model involves the delegation, any user can delegate and be the target of permission’s delegation
  • There are no limits on authentication models: Windows, FBA, SSO string, LDAP, etc.
  • Security can be multiple and simultaneously isolated: a same Intranet can be accessed with different privileges and different and isolated authorization models
  1. Specific permissions in a free and flexible way
  2. Predictability
  3. Authorization granularity
  4. Atomicity
  5. Different structures of authentication
  6. Different approaches with different security models

HOW DOES SHAREPOINT 2010 DO IT?

  • Different authentication models
    • Windows
    • Claims (extensible)
    • SSO through a service of credentials secure storage that allow an integration cache
  • Double set of configuration permissions
    • Default models (such as administrators or editors)
    • Ability to compose a custom set of permissions assigned to groups or individuals
  • Item by item security, each item can break the security inheritance and have their own model
  • Web Sites Extension through differentiated access enabling different directions with different security models for the same Web Site

The information is always available, findable and can talk with you

  • Knowledge integration
  • Recognizable models of information management
  • Everything at hand
  • Push & pull access models
  1. Corporate Desktop integration IT allows the increase of the access capacity and therefore of active knowledge
  2. The ease of use facilitates the acceleration of the processes
  3. Problems are solved more quickly with the information at hand
  4. Sharepoint 2010 has notification mechanisms which increases productivity

CENTRALIZED STORAGE DESIGNED TO SHARE INFORMATION EFFECTIVELY

  1. Everything is going to the SQL Server database
    1. Huge improvements already cited related to the information lifecycle
    2. Preventions to take into account: replace a disorganized file system – without prior analysis – with Sharepoint will produce an implementation as disorganized as the previous
